Step 1
Initiate Exploratory Meeting
In this meeting we will discuss the application and approval process as well as the key requirements and compliance standards the Arizona Division of Developmental Disabilities requires of new vendors. We will also discuss the essential documentation and timelines behind becoming a new vendor. This 1.5-2 hour meeting is very important in understanding what you would be getting into as a new vendor and what your new responsibilities from both an ethical and legal perspective would be. This step is a requirement to become one of our DDD consulting clients. You can use the button on this step or at the top of this page to schedule your initial consultation.

Initiate Consulting Services
After the initial consultation meeting we move into the DDD consulting services contracting phase. We provide you with the scope of our services and come to an agreement. After this stage our services commence.

Agency Incorporation
If you have no legal business entity name we will refer you to the easiest option for incorporating your new agency with the state or Arizona, as well as refer you to the easiest option for obtaining your EIN number from the IRS. Both are required to open up a vendor agency with the Arizona Division of Developmental Disabilities.

DDD Application Submittal
DDD application submittal is only 3 words but it is an immense amount of work. We will assist you in the creation of all necessary policies, documents, completed forms, licensure, and plans. This is 100s of pages of documents when done properly and even more when applying for more services under your DDD contract. But don't worry, we are here to walk you through it all.

AHCCCS ID
AHCCCS stands for Arizona Health Care Cost Containment System. This entity is the governing body with the fiduciary duty to manage all funds allotted to Arizona from the federal government for use in health care programs. We will assist you in obtaining your AHCCCS ID which is required in order to bill for services rendered by your agency.

HCBS Certification
HCBS stands for Home and Community Based Services. The HCBS Certificate is awarded through OLCR. OLCR stands for the Office of Licensing, Certification, and Regulation. We assist you with obtaining your HCBS certificate which is required in order to start services at any given service site.

Credentialing
Depending on what services you apply for and are contracted to provide by the Arizona Division of Developmental Disabilities you will go through the credentialing process at different points. This is the process of ensuring that ownership and employees are certified and prepared to provide services based on a set of metrics. This is the final step before you have the final go ahead to start providing services.

EVV & Wellsky
This is one of the most important steps. If you are going to be providing HCBS services like Attendant Care, Respite, & Habilitation you will need to ensure that your agency has an EVV account with Sandata or an approved EVV provider. EVV stands for Electronic Visit Verification. This is a process implemented by AHCCCS to ensure that all providers punch in and punch out when at the member's home to ensure that services are rendered at the time they are scheduled to be rendered. Wellsky is the Arizona state billing system. You can only gain access to it by completing the Arizona Division of Developmental Disabilities Zoom based training. You must complete this course as a requirement by the state but we also know how billing works an will be able to provide advice on best billing practices, especially as a new agency.

Respond to Vendor Calls
The Arizona Division of Developmental Disabilities provides a list of members who need services in a system called FOCUS. New vendors, no matter the service being provided, must use FOCUS to find members, accept authorizations for service, and complete certain compliance related tasks required by the state of Arizona. We will assist you will all of this, especially the drafting of vendor call responses. These responses are how your agency is chosen to provide services by the guardians of members that you want to provide services to. We are here to support you in drafting effective responses that accurately reflect your agencies capabilities as well as presents your agency in a capable manner.

Providing Service
Let's assume you have been selected to provide services for a member. At his point we will assist you in understanding what is expected of you and your agency in the rendering of these services, how to ensure your member files and employee files stay in compliance, explain to you what the most effective way to render these services is while ensuring the quality of your care provided to the member's you'll serve is high quality.

Free Training
As a client of Hand N Hand Consulting you will receive gratis training up to a certain dollar amount per month depending on the number of service sites we support. All of this is managed from your agency account dashboard where you can register for training and user your wallet to register for training using your available balance.

Agency Growth
At this point you will be providing services and be pretty busy with running your agency. We will continue to support you and help your agency grow into new service lines. If you are operating a DDD Habilitation Group home and want to open more we will help you respond to vendor calls and ace your vendor interview giving in order to be selected for a new group home expansion. If you have group homes already and want to start a Day Treatment Program we will work with you to open up this service line and begin providing these services. Long story short, we will work with your agency, aligned with your goals as the owner, and provide you with growth options that yield the most growth potential.

Ongoing Support
At this point you are a full fledged Arizona Division of Developmental Disabilities agency. You are providing services to individuals who need the support and care you are providing them which is allowing them to live a powerful and fulfilling life. At this point we will continue to work with you in an ongoing manner providing you with guidance and assistance in nuanced areas like incident management, corrective action plans, behavior treatment plans, behavior goals, and much more. FAQ

For the 1.5 – 2 hour initial consultation we charge $250 as a one time fee. This covers our time we will spend sharing with you the industry expertise we have and answering any questions you may have.

The monthly cost to work with your agency as a client varies greatly. This all depends on the scope of services and how involved we will be in supporting your agency as well as the volume of services your agency may already have or aims to begin providing. We discuss this cost during our initial consultation after we are able to get a better understanding of your agencies current state. 

We do not provide a la carte services. We work with you as a part of your team in an ongoing basis. This is the only way we can ensure that we can carry you all the way through from inception to providing services.

You are not locked into a long term contract. We have a 12 month agreement with a 30 day written out notice of you wishing to cancel services. Very few agencies or clients have done this. We have many clients that we have been working with for years. But, we do not want you to feel like you are locked into a long term contract and have provided this option to all of our clients if, for whatever reason, they do not wish to continue.
