Our Behavioral Health Consulting Process

Choose whether you are trying to open a behavioral health consulting business or are an existing behavioral health agency below and read through how our behavioral health consultants will work to help your agency succeed and grow.

Become An Agency
Step 1
Initiate Exploratory Meeting
Before any planning or paperwork begins, we start with an Initial Exploratory Consultation—a personalized, one-on-one meeting designed to assess your goals, readiness, and vision for your behavioral health agency. This is a critical first step where our experienced behavioral health consultants learn about your background, service interests, and the community you plan to serve. We use this session to identify potential barriers, clarify licensing pathways, and recommend the best service lines based on your expertise, desired population, and state requirements. Whether you’re brand new to the industry or transitioning from another role in healthcare or human services, this consultation helps us co-create a plan that’s realistic, strategic, and customized to your ambitions. It also gives you the opportunity to ask questions, understand the full scope of the process, and determine if we’re the right fit to walk this journey with you. By the end of this session, you’ll walk away with clarity, direction, and a clear next step—backed by the insight of seasoned behavioral health consultants who specialize in launching and scaling agencies across Arizona.
Step 1
Step 2
Startup & Planning
The journey to establishing a successful behavioral health agency begins with a strong foundation—and that’s where our behavioral health consultants come in. During this initial phase, we work closely with you to develop a comprehensive business plan tailored to the specific services you intend to offer, whether it’s outpatient therapy, in-home care, or community-based programs. Our consultants guide you through critical continuity planning to ensure operational stability in the face of potential disruptions, helping your agency stay resilient from day one. We also assist in service line selection, evaluating your goals, qualifications, and community needs to determine the most appropriate and sustainable services to launch. Site selection support is another key aspect of this phase; our behavioral health consultants help you identify, assess, and secure locations that meet licensing requirements, are accessible to clients, and support your long-term growth plans. By the end of Phase 1, you'll have a clear roadmap, a compliant business plan, and a strategically chosen site—setting the stage for a smooth licensing process and a thriving behavioral health operation.
Step 2
Step 3
Licensing & Accreditation
Once your foundational planning is in place, Phase 2 focuses on navigating the complex world of licensing and accreditation—a process that can be overwhelming without the right guidance. Our experienced behavioral health consultants streamline every step by walking you through the specific licensing applications required by the Arizona Department of Health Services (DHS), Department of Child Safety (DCS), and AHCCCS for behavioral health providers. We help you gather and organize the extensive documentation needed to meet these agencies’ standards, reducing delays and avoiding common pitfalls that often hold back new providers. During this phase, we also assist in developing and submitting your agency’s required policies and procedures, ensuring they are not only compliant but also tailored to reflect your unique service model and values. To support long-term success, our behavioral health consultants help you implement internal systems for documentation, quality assurance, and regulatory tracking, laying the groundwork for a smooth operational launch. Additionally, we begin the insurance credentialing process to prepare your agency for billing and reimbursement—an essential step for sustainability. With the support of seasoned behavioral health consultants, you can move through the licensing and accreditation phase with clarity, confidence, and momentum.
Step 3
Step 4
Infrastructure & Staffing
With your agency’s licensing and regulatory groundwork in progress, Phase 3 shifts focus to building the infrastructure and staffing required to operate effectively. Our behavioral health consultants work with you to design an internal structure that supports both clinical excellence and administrative efficiency. This includes guiding you through the recruitment and onboarding of qualified behavioral health professionals such as therapists, clinical supervisors, and administrative support staff. We help you define clear roles, ensure credentialing readiness, and implement systems that promote accountability and compliance. Additionally, our consultants assist in setting up clinical supervision frameworks to meet licensure requirements for staff and interns, as well as support long-term workforce development. To foster continuous professional growth, we incorporate Continuing Education Unit (CEU) plans and training strategies customized to your agency’s mission and services. Technology also plays a vital role in this phase. Our behavioral health consultants provide tailored recommendations and hands-on support for selecting or optimizing an Electronic Health Records (EHR) system—one that supports accurate documentation, billing, and compliance with state and federal standards. By the end of Phase 3, your behavioral health agency will be equipped with the people, tools, and systems necessary to operate with confidence and professionalism from day one.
Step 4
Step 5
Program Launch
With infrastructure and staffing solidified, Phase 4 marks the exciting transition into full program activation. During this stage, our behavioral health consultants guide you through the coordinated launch of your core services, ensuring every component—from clinical delivery to backend operations—is ready for real-world execution. We support you in the rollout of therapy offerings, whether it’s individual counseling, group therapy sessions, telehealth services, or more specialized interventions such as trauma-informed care and Positive Behavior Interventions and Supports (PBIS). Our consultants help ensure that your staff is not only trained in these models but also implementing them in alignment with best practices and licensure expectations. A key component of this phase is performing a final compliance readiness review, where we audit documentation processes, staff files, and clinical workflows to ensure your agency is launch-ready and audit-proof. Our behavioral health consultants also assist in establishing smooth billing systems and documentation workflows so that revenue generation and clinical compliance begin on the right foot. With every operational detail aligned, Phase 4 empowers your agency to open its doors to clients with confidence, professionalism, and a strong clinical and administrative foundation.
Step 5
Step 6
Post-Launch Support
The work doesn’t end after launch—and neither does our support. In Phase 5, our behavioral health consultants shift into a long-term partnership role, offering ongoing guidance to help your agency maintain excellence, grow strategically, and adapt to evolving industry standards. We provide continuous quality assurance consulting, helping you conduct internal audits, review clinical documentation, and refine policies to stay compliant with DHS, DCS, and AHCCCS requirements. Whether you’re preparing for a state audit, onboarding new staff, or launching additional programs, our consultants are available to ensure you never face these challenges alone. Agencies that require more clinical capacity can also take advantage of our add-on clinical hour packages, providing access to experienced therapists and supervisors as your caseload grows. Beyond compliance and staffing, we assist with grant writing, helping you secure additional funding streams for expansion, innovation, or specialized programming. As your behavioral health agency evolves, our behavioral health consultants remain a trusted resource—ensuring your mission stays aligned with best practices, regulatory standards, and long-term sustainability.

FAQ

For the 2 hour behavioral health initial consultation we charge $250 as a one time fee. This covers our time we will spend sharing with you the industry expertise we have and answering any questions you may have.

The monthly cost to work with your agency as a client varies greatly. This all depends on the scope of services and how involved we will be in supporting your agency as well as the volume of services your agency may already have or aims to begin providing. We discuss this cost during our initial consultation after we are able to get a better understanding of your agencies current state.

We do not provide a la carte services. We work with you as a part of your team in an ongoing basis. This is the only way we can ensure that we can carry you all the way through from inception to providing services.

You are not locked into a long term contract. We have a 12 month agreement with a 30 day written out notice of you wishing to cancel services. Very few agencies or clients have done this. We have many clients that we have been working with for years. But, we do not want you to feel like you are locked into a long term contract and have provided this option to all of our clients if, for whatever reason, they do not wish to continue.
